Booth Security

The exhibitor area is not a secured space. We recommend you remove high value items from your booth nightly. If you choose to leave items at your booth, we suggest shipping a tablecloth to drape over your exhibit booth when you are not there. Seattle Study Club is not responsible for any lost or stolen items.

Ad Submissions

Showcase your products or services at our upcoming Symposium.

We invite you to submit an ad for inclusion in the printed program journal (distributed at Symposium). But that’s not all—we are also creating a dedicated pre-symposium partner offer web page where we will showcase your products or services to Symposium participants. This is your chance to grab the attention of our attendees and drive traffic to your booth in the exhibit area. We encourage you to create an exclusive offer for the meeting, although it's not mandatory.

Ads must be submitted by December 15 to be included in the printed program journal.

Digital only ads for the pre-symposium partner offer page must be submitted no later than December 30.

Specifications:

• Ad size is 8.5 x 11 inches.

• Images should at least 150 dpi. (For print: 225–300 dpi.)

• Do not include bleeds, crop marks, or any other printing information. (For print: 1/8 inch bleed on all sides with crop marks.)

• Include URL link that goes to a landing page hosted on your website. 

• Required ad file submission format is JPG. (For print: High-res PDF.

Social Functions

Over the years, partners have discovered that their most successful interactions with attendees occur during our social functions. These events provide a relaxed atmosphere conducive to building connections and fostering collaborations. We highly encourage you to take full advantage of these opportunities by strategically positioning yourself next to doctors during our lunches or engaging with them during our evening performances.

For the other evenings, many have found success in making dinner arrangements with attendees on their own before joining everyone at the evening entertainment later that night. This informal setting allows for more focused conversations and creates a memorable experience for both parties involved.

AV Equipment

If you require electrical power at your booth or have any audio/visual needs, please download, fill out and submit the AV order form no later than Friday, January 5. Please note, AV purchased will be at your own expense.

Certificate of Insurance

Exhibiting companies must submit a copy of their certificate of insurance to Seattle Study Club by Friday, January 5, 2024. Certificates must include the following information:

Insured: Full company name and mailing address 

Date of the Meeting: January 24-27, 2024

Coverage Dates: January 23-27, 2024

This includes exhibitor move-in, show dates and move-out.

Additional Insured: Seattle Study Club, Inc, The Ritz-Carlton Bacara, Santa Barbara, CA, and their respective members, officers, trustees, directors, agents, employees, contractors and assigns. Use of facilities for the meeting held through January 27, 2024. Inclusive coverage includes hold harmless and waiver of subrogation.

Liability Amounts: Minimum amounts of $1,000,000 combined single limit bodily injury and broad form property damage coverage, including broad form contract liability and business interruption. insurance, are required. Seattle Study Club reserves the right, in its sole discretion, to cancel the application and contract for exhibit space of any exhibitor failing to meet these insurance requirements.
