Booth Security

The exhibitor area is not a secured space. We recommend you remove high value items from your booth nightly. If you choose to leave items at your booth, we suggest shipping a tablecloth to drape over your exhibit booth when you are not there. Seattle Study Club is not responsible for any lost or stolen items.

 

High Traffic Times

We have identified certain time slots during the event when booth traffic tends to be at its peak.  By strategically planning your booth activities around these peak periods, you can maximize your exposure and engagement with potential customers.  This will give you an excellent opportunity to showcase your products/services, network with industry professionals, and generate valuable leads. 

While we anticipate higher footfall during these times, please note that as we continue refining the meeting schedule, there may be revisions.  Rest assured; we will provide you with an up-to-date schedule during registration to ensure you have the latest information on high traffic times. *Times may vary slightly.*

Social Functions

Over the years, partners have discovered that their most successful interactions with attendees occur during our social functions.  These events provide a relaxed atmosphere conducive to building connections and fostering collaborations.  We highly encourage you to take full advantage of these opportunities by strategically positioning yourself next to doctors during our lunches or engaging with them during our evening performances.

 

For the other evenings, many have found success in making dinner arrangements with attendees on their own before joining everyone at the evening entertainment later that night.  This informal setting allows for more focused conversations and creates a memorable experience for both parties involved.

 

To assist you in planning your schedule, please find below a schedule outline.

 

Wednesday, January 22

Lunch: 12:30-1:30 pm (seat yourself next to doctors)

Welcome Party – 6:30 pm

 

Thursday, January 23

Afternoon (after 1:00 pm) and evening at your leisure – (Make arrangements with doctors)

 

Friday, January 24

Lunch: 12:00-1:15 pm (Seat yourself next to doctors)

Evening entertainment and dinner – 6:00 pm

Band – 8:00 pm

 

Saturday, January 25

Afternoon and Evening at leisure – 1:30 pm

Cocktails & music poolside – 8:00-10:00 pm

Exhibiting companies must submit a copy of their certificate of insurance to Seattle Study Club by Friday, January 3, 2025.  Certificates must include the following information:

 

Insured: Full company name and mailing address

Date of the Meeting: January 22-25, 2025

Coverage Dates: January 21-25, 2025

 

This includes exhibitor move-in, show dates and move-out.

Key Biscayne, Miami, FL, and their respective members, officers, trustees, directors, agents, employees, contractors and assigns. Use of facilities for the meeting held through January 25, 2025. Inclusive coverage includes hold harmless and waiver of subrogation.

 

Liability Amounts: Minimum amounts of $1,000,000 combined

single limit bodily injury and broad form property damage

coverage, including broad form contract liability and business interruption. insurance, are required. Seattle Study Club reserves the right, in its sole discretion, to cancel the application and contract for exhibit space of any exhibitor failing to meet these insurance requirements.

 

AV Equipment

If you require electrical power at your booth or have any audio/visual needs, please download, fill out and submit the AV order form no later than Friday, January 3. Please note, AV purchased will be at your own expense.
